Data Cleaning and Migration
Accurate and complete data are the cornerstone of a successful implementation of the MEDEQ system. In most organisations the data we need are kept in a variety of disparate systems, from accounting systems like Pastel, Sage, & SAP, CRM systems and even spreadsheets and text documents.
We use an Extract, Transform & Load (ETL) toolkit to collect the data from the various sources, correct errors, remove duplicates and, where possible, recreate missing or incomplete data records. Once the data has been “cleaned” it can be loaded into an empty MEDEQ Master Database ready for use.

System Implementation
Each business has its own business processes that have evolved over time to suit the way that they work, and these are not always well documented.
To identify and document the processes that have a bearing on service management, we have discovery workshops with the various stakeholders, such as the service team, managers, accounts and admin, etc. so that these can be catered for in the set-up of the system.
Once we have all the data loaded and the system setup is complete, we will carry out a data validation and functional test to make sure it is working as intended and has all the data needed. Any shortcomings will be addressed and corrected in this step.
As part of the testing process we also train the person/s who will be using the system in a management role. Although we will always be available to support and train your technicians and administrative staff, we like to have an internal resource who understands how the system works and can assist the others with basic tasks and queries.
We call such a person a Super User.
Each user of the system will be given a short training session to show them how they can use the system to carry out their daily job functions. This training will be augmented with as much one on one training as each person may need to get comfortable with the work flow and system usage.
When everyone is ready, we will switch from the Test System to the Production system and we will Go-Live.
After Go-Live a consultant will be available at no cost for a further 2 weeks to make sure that the system is working as desired and that everyone is comfortable using it.
During this phase we will create the offline documentation (Policies and Procedures, Process Diagrams, etc.) needed for ISO 13485 compliance and the User and Administrator guides for your team.
Server Hosting and Administration
Medeq is a Cloud Based system. The database and application software is hosted on a secure server in the cloud.
No applications need to be installed on user devices such as laptops and tablets. Access to the system is by means of a standard web browser. Our recommended browser is Google Chrome. All that is required for technicians in the field is an internet connection and their access credentials.
We take care of all the administrative tasks associated with running an enterprise class server. This includes regular backups, security management and protection of personal information.
User Help Desk
Remote support is available to end users of the system in Business Hours. Consultants, familiar with the system and the customers’ environments offer person to person support to help with all user requests. There is no limit to the number of user requests or any additional usage charges.
We use a Help Desk ticketing system to track and manage all User Requests.
Consulting Services
Our consultants are available on half and full day rates to assist with:
- Business Process reviewing, system configuration & documentation.
- Checklist creation for new products or changes to requirements.
- User Training for refresher courses or new hires.
- Report creation for statutory or industry standards.
